So here is your complete guide to preparing and delivering an event that not only looks good but also meets the high standards expected of accredited professional learning.

Every successful event starts with intent. Ask yourself:

What are we trying to achieve? Awareness, accreditation, or upskilling?

Who is the audience? Trainers, professionals, or internal staff?

What value will they walk away with that justifies their time?

When your purpose is clear, your planning becomes sharper. It is easier to align topics, speakers, and content that deliver genuine learning impact.

Even small events benefit from defined roles. Assign responsibilities for coordination, marketing, speakers, and logistics from the outset.

Set up a shared tracker and weekly check ins. If something goes wrong, you will already know who is responsible and how to resolve it quickly.

A well run event always starts with preparation.Create a realistic budget that covers venue hire, speakers, AV, catering, and a contingency fund.

Select a date that suits your audience and avoids major industry events or holidays. If your event is virtual, test the technology well in advance.

Plan backwards from the event date. This ensures tasks stay on track and there are no last minute surprises.

Your sessions and speakers should flow naturally, building towards a clear learning outcome. Each agenda item should have defined objectives, practical relevance, and measurable outcomes.

Think of your event as a story with a beginning, middle, and end. Introduce your theme, explore key insights, and close with reflection or next steps.

When accrediting or promoting an event, your CPD points must reflect actual structured learning time. Networking and coffee breaks do not count.

Note: Only structured learning time counts. If a session is informal, social, or purely promotional, it should not be included in your CPD total.

Once your content is ready, focus on outreach. Build anticipation by marketing outcomes, not logistics. Use multiple channels such as email campaigns, LinkedIn, newsletters, and partnerships to promote the event. Keep registration simple and send automated reminders leading up to the day.

Event day is where preparation pays off. Arrive early, test your AV setup, and ensure signage and branding are consistent.Start on time and manage transitions smoothly between sessions.

For virtual events, assign moderators, monitor the chat, and ensure speakers know the platform tools.

For in person events, make sure every staff member knows their role and where to assist delegates.

Before you submit your event to CPD QS for review, ensure you have your supporting materials in order. Providers who prepare well typically move through the approval process faster and with fewer revisions.

Here is what you should have ready:

1. Event Overview

A short summary of the event purpose, target audience, and learning outcomes. Include the delivery format (in-person, virtual, or hybrid) and event duration.

2. Programme Schedule

Provide a full agenda showing each session title, presenter, duration, and topic focus. Breaks should be clearly identified and excluded from learning hours.

3. Learning Outcomes

List three to five measurable learning outcomes that describe what delegates will know or be able to do after attending. 

4. Speaker Profiles

Include professional bios or credentials for all presenters to demonstrate subject expertise and relevance.

5. Assessment or Reflection Activities

Explain how you will confirm learning. For example, post-event questionnaires, polls, case discussions, or evaluation forms.

6. Participant Evidence

Provide a sample of how attendance or participation will be tracked. This may be a sign-in sheet, digital log, or online registration list.

Once you’ve gathered these materials, submit them through your provider dashboard or via email to assessment@cpdqs.co.uk for review.

Our accreditation team will assess your event within approximately 7-10 working days, providing detailed feedback or approval confirmation.

7. CPD points declaration
State the total CPD points you are claiming and show the calculation with breaks excluded. Provide a simple per session breakdown so the numbers add up cleanly.
